Job Summary


  • Space maximization and conflict resolution for managed and unmanaged spaces as required in all GS locations

  • Address complex, escalated, unique and last minute requests to ensure proper space is utilized and effectively provisioned

  • Send Daily 48/24 Hour Confirmations for on-floor VC reservations locally hosted in Salt Lake City & Dallas. Respond to any client inquiries regarding on-floor VC rooms, leveraging Central Reservations as necessary

  • Assist with Annual Calendaring for VIP Annual Events and recurring meetings in Salt Lake City & Dallas working closely with NYC to ensure all global and national connections are made

  • Assist with Summer Program Bookings in Salt Lake City & Dallas while partnering with the local teams to ensure space is utilized and maximized to its fullest potential

  • Accommodate waitlists following Summer Intern Bookings fulfillment paying close attention to VIP meetings and events

  • Assist the Central Reservations Team during Peak Volume periods as determined by the Director of Conference Services and Central Reservations Manager (i.e. Calendar opening in October each year)

  • Special task assignment of Platinum and VIP clients to ensure consistentsupport and booking availability

  • Review the book daily for Salt Lake City & Dallas to review assigned space and ensure events and meetings have been booked in accordance with the specific requirements of the meeting regarding setup, audio visual, food and beverage, etc.

  • Work with on-site teams to address space related issues

  • Work with the team to develop short term and long-term plans to effectively maximize space while supporting the unique needs of the client

  • Work closely with the onsite team to accommodate waitlisted requests as other events or meetings cancel

  • Follow-up with clients regarding space related issues or questions in managed or un-managed space

  • Develop and maintain an excellent rapport with clients via telephone and email instilling confidence that their meetings are being handled in an expert, timely and professional manner

  • Answer telephone in a friendly, professional manner, taking requests with accuracy and appropriately handling or referring questions and requests

  • Create/build upon data base of historical information regarding individual client preferences pertaining to meeting rooms, set-ups, audio/visual activities, food and beverage selection, etc.

  • Assist with EMS training for new associates in Salt Lake City and Dallas as requested

  • Proactively suggest areas of improvement to SOP’s, efficiency and management of responsible areas

  • Assist with coverage in any Conference Center Capacity as needed


  • Minimum 2-3 years’ experience as a reservationist utilizing conflict resolution and understanding of availability logistics, amenities, and services in global locations

  • Excellent organizational skills, with the ability to work under pressure, prioritize tasks and juggle many tasks simultaneously

  • Analytical approach to resolve space conflict

  • A thorough understanding of meeting dynamics, including room set-ups, Audio Visual functions, food and beverage requirements, etc.

  • A good understanding of spatial relationships in the context of conference room capacities and functions.

  • Creativity, with an open mind to see things from a different angle, suggests alternative space solutions, etc.

  • Excellent telephone skills, combined with strong “listening” skills.

  • Familiarity with conference center property management/reservation systems.

  • Strong computer skills and knowledge of office technology/equipment.
